How the System Works

Submitting a Report

Anyone can submit an anonymous report through the system - no login required for anonymous submissions.

How it works:

  1. Navigate to 'Anonymous Reports' from any page
  2. Select the type of concern (safety, bullying, emergency, etc.)
  3. Provide a detailed description of what you observed
  4. Optionally include location information
  5. Choose to submit anonymously or include your name
  6. System sends immediate notification to administrators
Automatic Notifications

When a report is submitted, the system automatically notifies designated school administrators.

How it works:

  1. Email sent immediately to configured admin emails
  2. Emergency reports trigger urgent notifications
  3. Report includes all details and timestamp
  4. Administrators can review in the management dashboard
  5. Reporter's identity protected (if anonymous)
Report Management (Admins)

Administrators can view, assign, investigate, and resolve reports through the management interface.

How it works:

  1. Navigate to 'Manage Reports' in the admin menu
  2. View all reports with filtering options
  3. Assign reports to staff for investigation
  4. Update status: pending → under investigation → resolved
  5. Add resolution notes and follow-up actions
  6. Track report trends and patterns
Privacy & Security

The system ensures reporter privacy while maintaining accountability for administrators.

How it works:

  1. Anonymous reports show no identifying information
  2. Named reports keep identity confidential to admins only
  3. All report access is logged for audit purposes
  4. Only authorized staff can view reports
  5. Reporter can choose anonymity level
  6. Data encrypted and securely stored

Navigation Path:

Main Menu → "Manage Reports"

Email Notifications:

Configure recipient emails in Settings → Report Settings

Assignment:

Assign reports to specific staff members for investigation

Status Tracking:

Track reports through: Pending → Under Investigation → Resolved → Dismissed

Best Practices

For Reporters

  • • Provide as much detail as possible
  • • Include specific locations and times
  • • Describe what you saw, not assumptions
  • • Use the emergency type only for true emergencies
  • • Consider including your name if comfortable
  • • Report immediately, don't wait

For Administrators

  • • Review reports promptly (within 24 hours)
  • • Investigate all reports seriously
  • • Document investigation steps and outcomes
  • • Follow up on resolved reports
  • • Train staff on responding to reports
  • • Protect reporter anonymity at all times
